Zen-Work was specifically designed for freelancers, self-employed professionals, small agencies and creatives. Whether you're a web developer, designer, copywriter or consultant – if you need to manage projects, time and invoices, Zen-Work is for you.

Yes! You can try Zen-Work free for 14 days with no obligation. No credit card required. After the trial, you can choose a plan or use the Solo Free plan.

No, Zen-Work is a web application that runs entirely in your browser. You just need an internet connection and a modern browser (Chrome, Firefox, Safari, Edge). No installation, no updates – just log in and go.

Pricing & Billing

Zen-Work offers two categories: Solo (single user) and Team (multiple users). Solo plans: Free (€0, 5 projects), Starter (€9/mo), Pro (€19/mo), Enterprise (€39/mo). Team plans: Starter (€19/mo, 3 users), Pro (€39/mo, 10 users), Enterprise (€79/mo, 20 users). Annual billing saves you 2 months. Full details on the pricing page.

Yes! With annual billing you save 2 months – you only pay for 10 months instead of 12. The discount is automatically applied at checkout when you select the annual plan. You can switch from monthly to annual billing at any time.

We accept all major credit cards (Visa, Mastercard, American Express), SEPA direct debit for EU accounts and bank transfer for annual plans on request. All payments are processed securely through our payment provider Stripe.

Yes, you can cancel anytime – no hidden fees. With monthly billing, your subscription ends at the end of the current month (minimum term 1 month). With annual billing, your subscription runs until the end of the paid year (minimum term 1 year). You retain full access to your data until the end of the term and can export it at any time.

Yes, you can switch between plans at any time. Upgrades take effect immediately and are prorated. Downgrades take effect at the end of the current billing period.

You can purchase additional storage as an add-on: €2 per 5 GB/month. The add-on can be booked and cancelled at any time. You can see your current usage in your account under "Settings > Plan". Alternatively, you can upgrade to a higher plan with more included storage.

Yes, consumers have a 14-day right of withdrawal under the EU Consumer Rights Directive (§ 11 FAGG / Austrian Distance Selling Act). You can exercise this right directly in your account under "Settings > Plan". The withdrawal must be declared within 14 days of contract conclusion. After a successful withdrawal, the paid amount is refunded within 14 days.

When upgrading during the withdrawal period, you only pay the price difference to the new plan. If you withdraw, only this difference is refunded – the amount already paid for the original plan is not refunded as it has already been used. Example: You bought Solo Starter (€9) and upgrade after 5 days to Solo Pro (€10 difference). On withdrawal you receive €10 back, not €19.

Yes, you'll automatically receive a proper invoice via email. All invoices are also available in your account under \"Settings > Billing\" and can be downloaded as PDF.

Features & Functions

Time tracking couldn't be easier: Select a project, click start and let the timer run. You can also manually add time entries. Each entry can be marked as \"billable\" or \"non-billable\". At the end, you can convert billable hours directly into an invoice.

Yes, all invoices comply with German GoBD requirements and Austrian regulations. They include all mandatory information like sequential invoice numbers, VAT ID, service period, etc. and are archived in a revision-proof manner.

Yes, Zen-Work includes a full quote management system. You can create professional quotes with line items, taxes and discounts, send them as PDF and convert them into an invoice with a single click. Clients can accept or decline quotes directly online.

Asset management helps you track recurring items: domains, SSL certificates, hosting packages, software licenses, etc. You can set expiry dates and get automatic email reminders before anything expires.

The Customer Portal is a separate view you can enable for your clients. Customers can view their invoices, quotes, contracts, tickets and project progress there – without access to your dashboard. You activate the portal per customer directly in the customer management.

It depends on your plan. Solo plans are for single users (Solo Enterprise allows up to 3 optional extra users at €5/mo each). Team plans: Starter (3 users), Pro (10 users), Enterprise (20 users, expandable at €5/mo each). Each user gets a role (Admin, Senior, Project Manager, Employee). Clients get separate access via the Customer Portal and do not count toward user seats.

Yes, from Solo Pro you can upload your logo, set a primary color and use a custom font. These appear on invoices, quotes and in the customer portal. From Solo/Team Enterprise, White-Label is available: run the customer portal under your own custom domain with all Zen-Work references removed.

Yes, you can export all your data at any time. We offer export functions for customers, projects, time entries and invoices in common formats (CSV, PDF). Your data belongs to you – even if you leave Zen-Work.

Privacy & Security

All data is stored exclusively on servers within the European Union. We use ISO 27001 certified data centers in Germany. No data is transferred to third countries.

Yes, Zen-Work is fully GDPR compliant. We only process data necessary for operation. You can sign a Data Processing Agreement (DPA) with us.

Very secure. All data is transmitted via SSL/TLS encryption and stored encrypted. We perform daily backups and have strict access controls. Two-factor authentication (2FA) is available for all accounts.

After cancellation, you have 30 days to export all your data. After that, all data is permanently deleted. On request, we can perform immediate deletion.

Yes! We have a comprehensive Help Center with guides, video tutorials and best practices. For Team Pro and Team Enterprise customers, we also offer personal onboarding sessions.
